For ongoing managed services, we typically recommend a minimum three-month engagement to allow sufficient time for deployment, optimisation, and measurable results. Project-based work is scoped individually with clear deliverables and timelines.

We believe in full transparency. Your proposal will detail all costs including development, third-party API usage fees, hosting, and support. Any potential variable costs, such as usage-based API charges, will be clearly outlined and estimated upfront.

Yes, for larger engagements we can offer a paid pilot phase where we build a focused proof-of-concept. This allows you to evaluate the solution’s impact before committing to a full-scale deployment.

Technical Requirements

During onboarding, we will request access to relevant systems, documentation about your current workflows, sample data (where applicable), and key stakeholder availability for discovery sessions. Our onboarding team will guide you through every step.

In most cases, our solutions are cloud-hosted, so no special infrastructure is required on your end. If your project requires on-premise deployment or specific security configurations, we will discuss and plan for this during the discovery phase.

No. We manage the full technical lifecycle of your solution. However, having a designated point of contact who understands your business processes will help ensure the solution is optimally configured to your needs.

We deploy across all major cloud platforms including AWS, Google Cloud, and Azure, as well as direct integrations into platforms such as Slack, Microsoft Teams, websites, and custom applications. Deployment targets are determined based on your requirements.

Data Privacy & Security

Data security is a core priority. All client data is encrypted in transit and at rest, access is strictly limited to authorised team members, and we follow industry best practices for data handling. We do not use your data for any purpose beyond delivering your solution.

We design all solutions with regulatory compliance in mind, including GDPR, the Australian Privacy Act, and other relevant frameworks. We can work with your legal or compliance team to ensure all requirements are met for your jurisdiction and industry.

No. We configure all AI models to ensure your proprietary data is not used for model training by third-party providers. Where applicable, we utilise private model instances or enterprise-tier API agreements that explicitly exclude data retention for training.

Upon termination of services, all client data and access credentials are securely returned or destroyed in accordance with our data handling agreement. We will provide written confirmation of data deletion upon request.

Yes. We are happy to execute an NDA before any sensitive information is shared. We can work with your standard NDA template or provide our own for your review.

Support & Communication

Onboarding typically follows four stages: (1) Discovery consultation to understand your goals and requirements, (2) Solution design and proposal, (3) Build and iterative testing with your feedback, and (4) Deployment, training, and handover. Timelines vary by project scope but we keep you informed at every step.

Timelines depend on complexity. A focused automation or chatbot solution can often be deployed within two to four weeks. Larger, multi-system integrations may take six to twelve weeks. We will provide a detailed timeline in your project proposal.

We establish a dedicated communication channel for every engagement, typically via Slack, Microsoft Teams, or email, based on your preference. You will have a dedicated project lead as your primary point of contact, with regular status updates and check-ins.

Post-deployment support includes system monitoring, performance optimisation, bug fixes, and regular review sessions. Our managed service plans provide continuous improvement based on real-world usage data and evolving business needs.

We expect solutions to evolve. Changes and enhancements can be handled through your ongoing support plan or scoped as additional project work. We maintain detailed documentation to ensure updates are smooth and efficient.

All clients have access to our dedicated support channel for reporting issues. Critical issues are triaged immediately, with response time commitments outlined in your service agreement. For urgent matters, an escalation path to senior technical staff is always available.
